AI use policy for organisations

AI use policy for organisations

Clear rules for using AI tools protect trade secrets, personal data and classified information and define responsibility for AI-assisted work.

What the policy covers

  • List of approved tools and the procedure for approving new ones.
  • Data that must not be entered into AI tools – including personal data, trade secrets and classified information.
  • Verification of AI outputs and responsibility for their use.
  • Copyright in materials created with AI.
  • Labelling of AI-generated content where required by law or contract.
  • Roles and responsibilities, including oversight of AI deployments.

Classified information and AI tools

Organisations processing classified information must exclude entering it into publicly available AI tools. Under Polish law, classified information may be processed only in ICT systems that have received security accreditation. We reflect this in the policy and training.

Frequently asked questions

Is an AI policy mandatory?

The AI Act does not expressly require an AI policy. However, a policy is a practical tool for meeting the AI literacy obligation, GDPR obligations and the protection of trade secrets.
